Membership Systems Manager

Salary: $70,000.00 annually
Classification: Exempt, subject to applicable federal and state wage and hour laws.
Location: Fully remote. This position is open only to applicants residing and authorized to work in the following states: AL, AZ, AR, DE, FL, GA, ID, IL, IN, IA, KS, KY, LA, MI, MS, MO, MT, NE, NV, NH, NM, NC, ND, OH, OK, OR, PA, RI, SC, SD, TN, TX, UT, WV, WI, and WY. Preference may be given to candidates located within the Mountain Time Zone due to business operations and team collaboration needs.
Reporting Structure: This position reports to the Director of Business Development.
Travel Requirements: Minimal travel (approximately 2-4 trips per year) is required.

Job Summary
The Membership Systems Manager serves as the organization’s CRM administrator and leads the systems, processes, and data that support membership operations. This position is responsible for managing membership technology, maintaining data integrity, developing efficient workflows, and delivering reporting and insights that support member acquisition, retention, engagement, and revenue growth.
Working cross-functionally, the Membership Systems Manager ensures that the organization’s membership systems and processes are accurate, efficient, scalable, and aligned with organizational goals. This role combines technical CRM administration with membership operations and strategy to create a seamless member experience and provide the data and infrastructure needed to grow the membership program. wildlife habitats on private working lands across the Great Plains.
Primary Responsibilities
CRM Administration
- Serve as the primary administrator for the organization’s CRM
- Manage and maintain constituent records, membership data, workflows, and related system configurations.
- Maintain the accuracy, integrity, consistency, and completeness of constituent and membership data through regular auditing, cleanup, standardization, and quality-control procedures.
- Manage data imports, exports, integrations, and connectivity with third-party platforms and systems.
- Troubleshoot CRM and system issues and coordinate technical solutions with consultants, vendors, and other service providers.
- Build and maintain reports, queries, dashboards, mailing lists, and audience segments to support membership, fundraising, marketing, and organizational initiatives.
- Identify and implement system enhancements and workflow improvements that increase efficiency, reduce manual processes, and improve data quality.
- Develop, maintain, and enforce SOPs, documentation, and reporting standards related to CRM usage, workflows, and membership operations.
- Train and support staff on CRM processes, procedures, and best practices.
- Manage relationships with CRM consultants, technology providers, membership fulfillment vendors, and other relevant service partners.
Membership Strategy
- Oversee the systems and operational processes that support the full membership lifecycle, including acquisition, onboarding, renewals, upgrades, retention, and reactivation.
- Partner with leadership and internal teams to develop and implement strategies that support membership growth, retention, engagement, and revenue.
- Monitor membership performance through KPIs, reporting, trend analysis, and member behavior to identify opportunities for growth and improvement.
- Use data and reporting insights to improve member acquisition, retention, engagement, and overall member experience.
- Oversee membership fulfillment processes and systems, including welcome kits, renewal communications, donor acknowledgments, membership benefits, and related member communications.
- Identify and strategically implement process improvements that enhance the member experience and improve operational efficiency.
- Support membership forecasting, revenue tracking, and performance reporting.
Cross Departmental Support
- Partner with organizational leadership to identify membership growth opportunities, strategic initiatives, and new revenue opportunities.
- Work closely with Finance, Communications, Conservation, and other teams to support initiatives and ensure accurate data, reporting, and operational coordination.
- Provide CRM, reporting, segmentation, and data support for fundraising campaigns, membership initiatives, events, and conservation programs.
- Assist with pipeline tracking, forecasting, revenue reporting, and other organizational performance analysis.
- Develop internal resources, training materials, and process documentation that improve communication, consistency, and efficiency across departments.
- Perform other duties as assigned.
Qualifications and Skills
- Experience administering and managing a CRM or similar database system; experience with Blackbaud Raiser’s Edge NXT is preferred.
- Strong knowledge of CRM administration, database management, data integrity, reporting, and system integrations.
- Experience supporting membership programs, nonprofit operations, fundraising, customer relationship management, subscription-based programs, or similar functions is preferred.
- Strong analytical and problem-solving skills, with the ability to interpret data, identify trends, and translate insights into actionable strategies and recommendations.
- Experience creating and maintaining reports, queries, dashboards, audience segments, and other data-driven tools.
- Strong project management and organizational skills, with the ability to manage multiple priorities, projects, and deadlines in a fast-paced environment.
- Demonstrated ability to identify system or process inefficiencies and develop practical, scalable solutions that improve operational effectiveness.
- Excellent written and verbal communication skills, with the ability to communicate effectively with technical and non-technical stakeholders.
- Exceptional attention to detail and a strong commitment to maintaining accurate, consistent, and reliable data.
- Ability to work collaboratively across departments while independently managing projects, priorities, and day-to-day responsibilities.
- Ability to learn and adapt to new technologies, systems, and processes as organizational needs evolve.
